How to Choose an Event Fit-Out Company: What to Look For, What to Ask and Why It Matters.

Choosing an event fit-out company is one of the most important decisions you will make for any event. It is also one of the most underestimated.

The structure goes up. The lining goes in. The guests arrive. And from that moment, everything your guests feel; the temperature of the room, the quality of the finish, how the space flows, whether it feels like somewhere or just somewhere to be, comes down to the decisions made weeks earlier by the people you chose to trust with the build.

Get it right and nobody notices. They just feel it. That is the standard we hold ourselves to at LOCK5. Get it wrong and everyone notices. And there is very little you can do about it at 7pm the night before. Here is what twenty years of delivering at the very highest level has taught us about what to look for when you are choosing an event fit-out specialist.

What does event fit-out actually mean?

Event fit-out is everything that transforms a temporary structure, a marquee, a warehouse, a blank shell, into a finished event space. It covers the fabric linings on the walls and ceiling, the hard walling and partitioning, the decking and flooring, the lighting, the scenic elements, the prop making, the painting and decorating, and all the bespoke elements that give a space its character.

It is not the structure itself. It is everything inside it. And it matters more than most people realise, because your guests never see the structure. They only ever experience what is inside it.

A bespoke event build done well is invisible. Guests do not think what a great fit-out. They think what an incredible space. That is the goal. And it is what every LOCK5 project is built around.

What is included in a fit-out?

A full event fit-out typically includes some or all of the following, depending on the brief.

Fabric linings

Ceiling, wall and roof linings in a range of finishes; from plain white and ruched fabric to Nightsky LED starlight effects, blackout linings, acoustic linings and fully bespoke printed or coloured solutions. Linings are the single biggest visual element in any temporary event space and the one that sets the atmosphere most powerfully.

Hard walling and partitioning

Creating rooms within rooms, dividing spaces for different functions, boxing in columns and staircases, creating back-of-house areas separate from guest-facing spaces.

Bespoke joinery and furniture
Bars, reception desks, banquette seating, counters and furniture built and upholstered in-house to exact specification. At LOCK5 we design, build and upholster everything in our own workshop.

Decking and flooring
Raised flooring, level surfaces for outdoor or uneven ground, bespoke decking areas for terraces and exterior spaces.

Scenic painting and prop making
Atmospheric scene-setting, bespoke scenic elements, branded environments and theatrical touches that take a space from beautiful to extraordinary.

Lighting installation
The element that changes everything at the flick of a switch; from practical task lighting to atmospheric feature lighting, chandeliers and LED effects.

What to look for in an event fit-out company?

Track record at the right level

The best indicator of future performance is past delivery. Look for an event build contractor that has delivered at events comparable in scale, complexity and standard to yours. Ask to see case studies. Ask who the clients were. Ask what the brief was and what the outcome looked like.

At LOCK5 we have delivered event fit-out at Royal Ascot, the RHS Chelsea Flower Show, Glorious Goodwood, Frieze London, Cheltenham Festival, Silverstone Formula 1 and the Honourable Artillery Company, among many others. The standards these events demand have shaped how we approach every project, regardless of scale.

In-house manufacturing capability
There is a significant difference between a company that sources linings and fit-out elements from third parties and one that manufactures in-house. In-house manufacturing means tighter quality control, faster response to changes, greater flexibility on bespoke solutions and significantly lower risk of supply chain problems at critical moments.

LOCK5 manufactures all fabric in-house using CNC precision cutting. We made 35,000m² of lining in a single year. When a brief changes at short notice; and in events, it always does, we can respond in a way that a company relying on external suppliers simply cannot.

Integrated design capability
The best event fit-out does not start with a lining order. It starts with a design conversation; about how the space should feel, how guests should flow through it, what the arrival experience should be, where the focal points should land. A fit-out company with genuine in-house design capability will produce a better result than one that executes someone else's concept.

LOCK5's Head of Design Lulu Beasley, formerly Venue Experience Manager at Royal Ascot, works with clients from the earliest stage of every brief using AI-powered visualisation, CAD and 3D renders so clients can see and feel their space before a single pole goes up.

Honest, comprehensive quoting

This is the one that matters most and the one that is most often overlooked. The events industry has a pricing problem. Jobs go to the cheapest quote. Then the real costs start appearing mid-build. Then the difficult conversations start happening. Then the client is managing a situation they did not budget for, on a timeline they cannot move, at an event they cannot afford to get wrong.

A good event fit-out company quotes everything a project actually needs; not just what wins the job. At LOCK5 we include everything. We deliver to the price we quoted. We do not go back and ask for more money unless the scope has genuinely changed. One of our longest-standing partners describes what we bring to a project with one word: de-risk.

Long-term relationships
The best event fit-out companies do not just deliver jobs. They build relationships. They understand how you work, what your clients expect and what success looks like from your perspective. Some of our client partnerships at LOCK5 span twenty years. That does not happen by accident.

What to ask when hiring an event fit-out specialist
Before you sign anything, ask these questions. The answers will tell you everything you need to know.

Do you manufacture in-house or do you subcontract?
Can you show me examples of work at a comparable scale and standard?
What does your design process look like and how early can you be involved?
How do you handle scope changes or brief revisions during a build?
What is and is not included in this quote?
Who will be on site and who is the single point of contact?
What is your contingency planning process?
